Blue Ribbon Personnel Services in Placerville is currently assisting a local nonprofit with their need for Medical Records Coordinator.

Assembles new patient charts and maintains all patient records including filing of documents, tracks submission, receipt and filing of Plans of Care, History & Physicals, orders, certifications of terminal illness (CTI), and other documents as appropriate.
Closes chart(s) upon patient death/discharge, ensures medical records are returned to cabinets and medical record room is locked at the end of the day
Requests and obtains necessary medical information from various providers when requested by admission nurses or other staff
Conducts audits to monitor completion of documentation for medical records, including but not limited to audit admissions and EMR input
Maintains and organizes the EMR system
Creates and maintains EMR forms
Acts as the primary EMR troubleshooter for clinical staff
Processes appropriate forms for signature and faxing, including drug profile sheets to pharmacy
Completes physician additional orders tracking and assures that faxing and appropriate annotation is completed
Participates in quality improvement projects as requested
Maintains on-call binder
Processes faxed orders, notifies RN of orders by voice mail/text and/or copy
Extends private insurance authorization when initial authorization expires
Acts as a primary support to the Clinical Administrative Assistant Float
Acts as a secondary support to front office reception
Prepares pronouncement/discharge procedures in query, inputs in EMR, notifies via fax appropriate vendors/businesses (DME, Pharmacy, MD, Insurance, Coroner), notifies appropriate clinical staff and volunteers as needed
Tracks recertifications and informs the appropriate Clinical team members and the Clinical Administrative Assistant what recerts are due, including face-to-face visits made by the Medical Director
Updates EMR regarding deaths, discharges, transfers, hospitalizations, respite, revocations, and notifies appropriate staff
Completes annual purging of older records from main files as directed by policies and procedures
Follows up on documentation and Medical Records requests and signatures
Perform basic new employee training in EMR and basic charting procedures for all Clinical staff

Performs job responsibilities and duties in an efficient, accurate and timely manner
Associates Degree in business or related field
Four years general office, including two years medical records experience
Demonstrated knowledge of medical terminology and HIPAA guidelines
Demonstrated ability to perform detailed work in a timely manner with accuracy and thoroughness
Previous computer experience including Electronic Medical Records (EMR), Microsoft Word and Outlook required
